Your email is yours

This is the plain-language version of how Mailex handles data. We connect to the Gmail mailboxes you choose so your team can triage them together. We do not sell your data, we do not use the content of your email to train models, and we take the narrowest Gmail access that makes the product work.

What we collect

Account data
Your name, email, and profile photo from Google sign-in, plus your workspace and role.
Email content
The messages in the mailboxes you connect: headers, bodies, and attachments, synced from Gmail so your team can work them together.
Collaboration data
Assignments, internal notes, tags, snoozes, SLA timers, and the audit log your team creates in Mailex.
Usage data
Basic product and diagnostic logs (which we keep short-lived) to keep the service running and debug problems.

How we handle Gmail data

Mailex’s use of information from Google APIs follows theGoogle API Services User Data Policy, including the Limited Use requirements. In practice that means:

  • We request the gmail.modify scope only, so we can read, label, and send on the mailboxes you connect. No Drive, Calendar, or Contacts.
  • We use your email content to provide the shared-inbox features you asked for, and for nothing else.
  • We do not use your email content to train generalized AI models. AI drafts and summaries run per-request on your thread and are not retained by the model provider for training.
  • No human at Mailex reads your email except where you ask us to for support, or where the law requires it.
  • You can disconnect a mailbox or revoke access from your Google account at any time.

Who we share it with

We do not sell personal data. We share it only with the subprocessors that run the service, each under a data processing agreement:

How long we keep it

Conversation and collaboration data lives as long as your workspace is active. The audit log is retained for two years. When you delete your workspace, we delete your data within 30 days, except where we are legally required to keep a record. Diagnostic logs roll off within 30 days.

Your rights

You can access, export, correct, or delete your data. If you are in a region covered by GDPR or CCPA, those rights apply to you and we will not charge you to exercise them. Workspace admins can export most data from the product; for anything else, email us and we will handle it.
